There are a variety of email notifications within myhrtoolkit where controllers, managers & employees alike will find useful for their day-to-day HR needs. Be it holiday requests, resending passwords, welcome emails for new starters and more. Below we talk you through a couple of scenarios where this may occur and how to fix it.
1) Go to Management > Bulk Data > People > System Email.
Check that the email address is present & correct. (If the employee also has controller rights, please ensure an email address is also present and correct within Management > Bulk Data > People > Email Addresses > Work Email Address).
2) Check with your employee that nothing is going to Junk/Spam/Clutter in error and that the employee has not got any rules set up that could mean to email is being forwarded to a folder.
3) Check with your IT department that the email alerts are not being blocked and the email address is also on your company safe list.
4) Check they have been granted System via Access Config > Access Rights > System Access & locate employee. Check access is set to Give Access, remember to press Submit after any changes.
In addition to the previously mentioned steps, here’s a few more simple steps we recommend a controller checking over.
1) Go to Config > Access Rights > Holiday Managers & Groups.
2)Under the holiday managers group, are all direct reports present and correct for this certain holiday manager? Remember! The holiday manager of the group must not also be a member of the group.
3) Also check the Notifications settings for Holidays. Located in Config > Access Rights > Notifications and check who has been selected here to also receive holiday email notifications. How to use Notifications on myhrtoolkit | HR management software
Notes
Entering an email address for a new user which is not yet active will lead to complications when you try to send the welcome email – Therefore please enter a nominated email address here such as hr@xxx.com or info@xxx.com for example in order to proceed to the next step. Don’t worry you can add the users email address to the employee’s file later via Management > Bulk Data before you give them access.
During the new employee wizard process if the new starter is yet to start employment with your company and their email address is not yet active, please input an alternative email address, such as yours or hr@xxxx.com for example.
